Do You Manage Property Full Time?

 Yes. We have been managing rental property full time since the very beginning. This is not something that we do part time and we are actively involved everyday in making our property management services better. We own investment property in the areas that we manage so we are able to have a unique perspective about investment property. We are upfront and honest in all of our dealings and treat each and every customer and client just the same that we would want to be treated. How Do you Market Your Homes For Rent?

We spend a lot of time and effort to create a personalized marketing plan for each client.  Some of our marketing plan is listed below.

  • Place a For Rent Sign in the yard

  • Take 50 high quality photos that are edited and uploaded to the listing

  • Record a detailed virtual tour video with commentary which is uploaded to YouTube and all of marketing sites

  • Post the listing on the MLS (Multiple Listing Service)

  • Post the Listing on our website http://www.DamonWoffordRealty.com which receives 200+ unique visitors each day

  • Post to Craigslist, Zillow, Trulia, Hotpads, Realtor.com, + 30 other Real Estate Websites

  • Send a detailed email to our growing list of email subscribers that are looking to rent in the metro Jackson area. Currently we have 3,000 people on that list.

  • Post on Social Media including our Facebook Business Page, Twitter, Linked In, YouTube, Google Places, Google Plus.

  • Notify our current residents to see if they know of anyone that is looking to rent in the area that we are listing the home. We receive many referrals from our existing tenants.

How Do You Screen Your Tenants?

Just like our marketing plan we are very detailed in our tenant screening process. We understand that it is very important to approve an applicant for the property that can afford to pay their rent on time, keep the property in excellent shape and be a good neighbor.  In order to view one of our properties a prospective tenant will have to setup an appointment to view online. We have a very sophisticated online appointment scheduling program that allows the prospect to view the showing times during the week and setup a time works best for their schedule.  We will also have them answer questions that we want to know before we will confirm the appointment.  Some of those questions are: How soon are you looking to move? Do you have a deposit ready to secure the home? What is your current monthly rent? What is your gross monthly income? Why are you moving? We find that by getting these questions answered early in the process it not only saves the prospect time but it saves us time as well.  Once the appointment is set and confirmed we will show the property in person and walk them through the house and answer any questions that they might have.  If they would like to proceed and try to rent the home then we will have them fill out the full rental application.  The application is very detailed and from that application we will have the necessary information to pull the credit report, criminal report, sex offender report, employment information and rental references.  Each application is processed the same way and we work on a first come first serve basis.

What Are Your Fees?

How Do You Handle Maintenance?

We have a full time maintenance technician that can handle most problems that arise. We also have close relationships with any type of vendor that would be needed to solve a maintenance problem. We are given discounted rates from these vendors because of volume pricing and we pass those savings on to our clients. We will assess the maintenance requests as they come in from our residents and send out the appropriate vendor to solve the issue. We will pay the vendors and bill that to the owners account and that will be deducted from rental proceeds. We will also upload all receipts and invoices to the online portal for the owners to review anytime 24/7.

We are different than most property management companies because we do not make money on maintenance. A lot of companies will mark up or charge a cost plus for maintenance but that is not how we do business.  We would rather our clients be able to maintain their property at an affordable rate than make money on maintenance.

How Often Do You Inspect the Homes?

We personally inspect the homes every 5 months and fill out a detailed inspection sheet which is uploaded to the online portal for the owners to review. We will also take pictures and videos if necessary.  We also do inspections anytime that maintenance is requested by our residents. We are in constant communication with our tenants because we want to make sure that all preventable maintenance is handled and that the house is being kept in good condition.

When Do You Transfer Rental Proceeds?

We give our owners 2 options depending on what works best for them. They can either receive the rent proceeds by the 15th of each month and they will be required to keep a $300 maintenance reserve in the escrow account at all times. The second option which is our most popular is to have the rental proceeds fund the account on the last business day of the month.  All transactions are done within our online property management software and are very detailed and traceable for all parties.


  What Accounting System Do You Have?

We use a very sophisticated online accounting system called Buildium (www.Buildium.com). This system allows us to run our business completely online. This is very important because 50% of our clients live outside of Mississippi and some even live outside of the US. Being able to have up to date information available to our clients 24/7 is a must.  Some of the highlights of the system is below.

  • Online Access: Easy to use online system that rental owners and tenants can access 24 hours a day and generate key reports with a click of a button.

  • Resident Portal: A resident portal that allows tenants to make a rent payment, review payment history, view or download their lease and make maintenance requests.

  • Owner Portal: Allows owners to have online access to all financial data including detailed reports, detailed tenant information EFT Payments and more. Statements can be viewed anytime of day with a click of a button.

  • Communication: Being able to communicate with all my management team, rental owners, and contractors through one website. Create tasks and job orders that are emailed to the management team or contractor.

  • Online Application: Customizable online application for tenants to fill out.  We screen every tenant that is applying to lease one of our homes. We check Credit History, Criminal and Sex Offender, Rental and Employment History.

  • Rent Collection Made Easy: All rent payments made by the residents are processed online.  They have option to setup automatic monthly drafts or manually pay each month.

  • Late Fees: Late fees are automatically applied to tenants account when late. Also they are automatically emailed that their account was charged with a late fee and to pay now to avoid eviction.

  • Paying Owners and Vendors: We can pay the rental owners and vendors with a click of a button through EFT and it is funded to their bank account within 24 Hours

  • 1099 Reporting: Buildium will file and mail your 1099’s to each vendor and rental owners.
